This Privacy Policy explains how Continuum Creative Studio (“Continuum”, “we”, “us” or “our”), based in Rockhampton, Queensland, handles personal information in connection with this website, enquiries, meetings and client services.
This policy describes our current practices and how you can ask questions or make requests about your information. We will meet the Australian privacy obligations that apply to our business.
1. Information we collect
- Enquiries: your name, email address, phone number, business name, selected project focus and the project notes you send.
- Bookings and communication: contact details, appointment information, messages and information you choose to share during phone or video conversations.
- Client work: instructions, business content, supplied files, feedback, approvals and contact details needed for the agreed engagement.
- Billing: invoice details, transaction references, amounts and payment status. When you pay through Stripe, Stripe handles the payment information entered on its payment pages. We do not ask for full card numbers or card security codes through our contact form.
- Technical information: our hosting, security and form providers may process IP addresses, device and browser information, request times and related security or delivery logs.
Please do not put passwords, identity documents, full payment-card details or sensitive personal information in an ordinary project enquiry. If a project requires sensitive or confidential material, we will agree an appropriate way to handle it first.
2. How information is collected
We collect information when you submit the contact form, email or call us, book a meeting, provide project material, approve work or make a payment. We may receive information from someone authorised to act for your business or from a service provider carrying out one of those activities.
You can browse the main website without supplying your name. You may make a general enquiry anonymously or using a pseudonym where practicable, but we need suitable contact and billing information to respond to some requests or provide services.
3. How we use information
We use information to respond to requests, arrange meetings, prepare quotes, deliver and support agreed services, communicate about projects, issue invoices, reconcile payments, prevent spam and misuse, maintain records and meet legal obligations. We do not sell personal information.
Sending a project enquiry does not automatically subscribe you to a marketing mailing list. If we send promotional messages, we will do so with an appropriate basis under applicable law and provide a way to opt out. Service and billing messages may still be needed for an active engagement.
4. Service providers and disclosure
We use providers to operate the business and handle relevant information for the purposes described above. Our current website and client workflow includes:
- Web3Forms: receives contact-form submissions, checks them for spam and forwards enquiries to our business inbox. Its infrastructure and spam-screening providers may also process submission information, including submitter email and IP address. See its Privacy Policy and sub-processor details.
- Google Workspace, Calendar and Meet: support business email, documents, appointment booking and video meetings. Opening the booking link takes you to Google’s service. See Google’s Privacy Policy and Workspace sub-processor information.
- Stripe: processes supported invoices and payments, including transaction security and fraud checks. See Stripe’s Privacy Policy.
- Website hosting and security: the OpenAI Sites platform and Cloudflare infrastructure deliver this website and may process technical request and security information. See OpenAI’s Privacy Policy and Cloudflare’s Privacy Policy.
For an agreed client project, we may also use appropriate production software, contractors or professional advisers, limited to what is reasonably needed. We may disclose information when you authorise it or where the law permits or requires it. Some providers also handle information for their own security, compliance or service purposes under their policies.
5. Overseas processing
Our cloud providers operate internationally, so information may be processed or accessed outside Australia. Relevant locations may include the United States and India, and European locations including Germany and Finland, depending on the provider and service. For example, Web3Forms identifies operations in India and infrastructure or screening providers in those other regions.
Provider networks and support locations can change. The linked provider policies and sub-processor lists give further country and region information. Contact us if you need clarification before sending material with location or confidentiality restrictions. Where applicable law requires safeguards for an overseas disclosure, we will take the steps required of us.
6. Storage, security and retention
Information may be held in business email, cloud documents, project files, invoicing systems and the service providers described above. We take reasonable steps appropriate to the information to protect it against misuse, loss and unauthorised access or disclosure, including limiting access to people and services that need it. No internet transmission or storage system can be guaranteed completely secure.
We retain information for as long as reasonably needed for an enquiry or engagement and any applicable accounting, legal, dispute-resolution or record-keeping requirements. We then delete it or de-identify it where practicable and lawful. Backup copies and provider records may remain for their normal retention periods.
Web3Forms currently states that it may retain submission data for up to three years, subject to earlier deletion or a shorter applicable period. Removing a copy from our inbox does not necessarily remove a provider’s copy. We will consider relevant provider copies when responding to a deletion request.
7. Cookies and website measurement
The current public website does not include Google Analytics, Meta Pixel or advertising remarketing tags. Hosting and security services may use technical logs or essential cookies to operate and protect their services.
Google booking pages and Stripe payment pages operate separately and may use their own cookies and similar technologies. You can manage cookies through your browser and those providers’ controls. If we introduce optional analytics or advertising tracking, we will update this policy and provide any notices or choices required by applicable law.
8. Meetings and creative tools
If a meeting is to be recorded or transcribed, we will tell you and obtain any agreement required before doing so. A video-call booking is not, by itself, consent to recording.
We may use design, editing and AI-assisted tools for agreed creative work. Where identifiable or confidential client material is needed, we will discuss suitable handling and any required permissions. Please tell us about restrictions before supplying that material.
9. Access, correction and deletion requests
You can contact Chris to ask what personal information we hold about you, request access or correction, ask us to stop an optional use, or request deletion. We may need to verify your identity and authority before acting. We will explain if a legal requirement, another person’s privacy or another applicable reason prevents us from fulfilling a request in full.
We will consider requests promptly and aim to respond within 30 days. If more time is reasonably needed, we will explain why. You can also use a provider’s privacy controls for information it independently holds about you.
10. Privacy enquiries and complaints
Email Chris with your concern, the relevant interaction and the outcome you would like. We will acknowledge the complaint, investigate and aim to respond within 30 days. If you are dissatisfied and your complaint falls within its jurisdiction, you may contact the Office of the Australian Information Commissioner. Other rights or complaint avenues available under applicable law are not restricted by this policy.
11. Policy updates
We may update this policy when our services, providers or practices change. The current version will be published here with its update date. Where required, we will give an additional notice or seek consent for a material change.
